What this policy covers
This policy explains what personal data we collect through this website, why we collect it, the legal basis for using it, how long we keep it, who we share it with, and the rights you have. It applies to bidlow.co.uk only.
The personal data we collect
- Enquiries (contact form): your name, company, email address and the contents of your message.
- Bookings: if you book a call, the booking is handled by Calendly and may include your name, email address and any details you choose to provide.
- Direct contact: any information you include if you email or call us.
- Technical data: our hosting provider keeps standard server logs (for example IP address, browser type and pages requested) for security and to operate the site. We do not use analytics or advertising trackers.
How and why we use your data (legal bases)
- To respond to your enquiry and discuss working together — legal basis: our legitimate interests in responding to people who contact us, and taking steps at your request before entering into a contract.
- To arrange and hold a call you’ve booked — legal basis: legitimate interests / steps prior to a contract.
- To keep the website secure and working — legal basis: legitimate interests in the security and integrity of our systems.
- To comply with our legal obligations — for example, keeping records we are required to keep.
We do not use your details for marketing without your consent, and we do not sell your data to anyone.
Who we share it with
We use a small number of trusted service providers (processors) who handle data on our behalf, under contract and only on our instructions:
- Microsoft Azure — website hosting (primary region: West Europe) and server logs.
- Microsoft 365 — our email.
- Formspree (Formspree, Inc., USA) — delivers contact-form submissions to us.
- Calendly (Calendly, LLC, USA) — processes call bookings, only if you choose to use it.
We may also disclose information where required by law, or to establish, exercise or defend legal claims.
International transfers
Some of our providers are based outside the UK (including the USA). Where personal data is transferred outside the UK, we rely on an appropriate safeguard recognised under UK data protection law — such as UK adequacy regulations or the UK International Data Transfer Agreement / Addendum to the EU Standard Contractual Clauses — so your data receives an equivalent level of protection.
Cookies
This website sets no cookies of its own and uses no analytics or advertising trackers. The only third-party cookies are those that Calendly may set — and only if you actively choose to load the booking calendar. See our Cookie Policy for details.
How long we keep it
We keep enquiry and booking data for as long as needed to deal with your request and for a reasonable period afterwards — normally up to 24 months after our last contact — unless we enter into a working relationship, in which case relevant records are kept for the duration of that relationship and for as long as the law requires afterwards. Server logs are kept only for a short period.
Your rights
Under UK data protection law you have the right to:
- access the personal data we hold about you;
- have inaccurate data corrected;
- have your data erased in certain circumstances;
- restrict or object to our processing;
- data portability, where applicable;
- withdraw consent at any time, where we rely on consent.

Security
We take reasonable technical and organisational measures to protect your data, including encryption in transit (HTTPS) and limiting access to the people who need it. No method of transmission over the internet is completely secure, but we work to protect your information and respond appropriately to any data breach.
Complaints
If you have a concern about how we handle your data, please contact us first. You also have the right to complain to the UK supervisory authority, the Information Commissioner’s Office (ICO), at ico.org.uk or on 0303 123 1113.

We may update this policy from time to time. The “last updated” date at the top shows when it was last revised.
